Exhibitor booking terms
Booking confirmation:
The contract and invoice for participation will be sent to the indicated e-mail address within 48 hours after receiving booking form. If you have not received the invoice, please check your spam box and contact organisers.
Discounts:
Early bird 10% discounts apply to bookings and payments made by 15 June 2021. Discounts do not apply to additional options.
Payment:
Cashless payments in Russian roubles are accepted by MINEX Mining Forum LLC in Russia. Bank transfer or credit card payments in foreign currency are accepted by Advantix Ltd in the UK.
Cancellations:
Cancellations of exhibitor booking received before 8 September 2021 will be subject to 15% administration charge. No refund will be given, and the amount of the invoice must be paid in full in case of cancellation made after 8 September 2021. All cancellations should be emailed to admin@minexforum.com with the subject “Cancellation of exhibitor booking”.
Force majeure circumstances:
In the event of a worsening epidemiological situation and / or tightening of the rules for holding mass events in Moscow or for any other reason beyond organisers’ control, they reserve the right to transfer the Forum and the Exhibition partially or completely to the online format. Difference between the costs of in-person and online participation will be refunded after the event in accordance with agreed terms. MINEX Forum and Exhibition organisers are not responsible for any losses, delays, damages, or other obligations that occur as a result of or in connection with any cancellation, or any change in the date and / or location of the Event.
Sanitary and Epidemiological Rules at the Exhibition
To prevent the spread of coronavirus infection and to ensure health and safety of all participants, the forum and exhibition will be organised in accordance with the congress and exhibition events regulations issued by Rospotrebnadzor.
Wet disinfecting cleaning with virucidal agents and automatic ventilation of the premises will be carried out on the site before the venue opening.
Every day before being admitted to the site, all employees will be asked to measure their body temperature.
People with fever and signs of infection will be immediately suspended from work and removed from the venue. The organisers and management staff will wear masks and disposable gloves at all times.
Sanitary and epidemiological control at the entrance to the hotel
Upon entering the hotel, security personnel will check the temperature of all visitors. If a higher temperature is detected, the visitor will be invited to the medical centre for second check-up. Visitors with fever will not be allowed to the forum and exhibition venue. Detailed information on safety and health protection is published on the hotel website.
Online registration and contactless on-site registration
All forum participants and exhibition visitors must pre-register and print a confirmation letter with a barcode or save it to their phone.
Rules for Exhibition Visitors
Entrance to the exhibition, organised within the framework of the forum on 6-7 October, is free for visitors. Online pre-registration is required. At the entrance to the exhibition, visitors are required to put on a mask and present to the forum representative a confirmation of registration with a barcode, printed out or saved on the phone. After scanning the barcode, the visitor will be admitted to the exhibition area.
- Personal badges and handouts will not be issued to visitors.
- Visitors are not allowed in the Forum meeting rooms, catering and networking areas.
- Before entering the exhibition visitors will be able to purchase protective masks and gloves.
- Food and drinks cash bar willbe inthe aisle between the exhibition halls.
Mandatory use of personal protective equipment
All participants, visitors, organizers and service personnel of the forum and exhibition will be admitted on-site only with a mask and gloves.
Social distancing
To ensure their own safety and the health of others, we ask the participants to refrain from close contacts, gatherings of 3 or more people. Please follow the direction routes and comply with the social distancing requirements published on the hotel website.
Preventive measures in the exhibition area
The construction of the exhibition will be organised in accordance with the routing scheme, observance of the width of the aisles of at least 3 meters, as well as the arrangement of workplaces at the booths, considering the distance of at least 1.5 meters. Exhibitors manning the booth must wear masks and gloves at all times. If soft drinks are offered at the booth, please use disposable tableware. The booths must be equipped with sanitiser. Every two hours exhibitors are expected to clean all surfaces of their booth with antiseptic. Wet cleaning of all contact surfaces and common areas with the use of disinfectants will be carried out by the hotel staff every two hours.
General Public admission events at the exhibition
HR Fair and Metals and Mining HR Conference
HR Fair and Metals and Mining HR Conference will be organised for the first time alongside MINEX Russia Exhibition. They will bring together representatives of personnel management services, in-house schools, universities, R&D centres, recruitment agencies and companies specialising in the development of training programs and technologies.
Hosted by companies HR receptions and HR desks will offer interactive points for organising screening interviews with job-seeking candidates. Here, visitors will be able to learn more about the companies, meet with their representatives and take part in presentations.
An HR Teleconference will be held at the Metals and Mining HR Conference. Among many other issues, it will address challenges and projects managed by universities and companies to ensure high quality of education and research conducted in remote work format.

Virtual Exhibition
Digital twins of physical and hybrid exhibitor booths are represented at the virtual exhibition created on MINEX Russia Forum website. During the exhibition on 6 and 7 October, exhibitors will be able to hold real-time meetings with remote visitors via Internet kiosks. After the exhibition, meetings can be held in online rooms built into virtual stands. Virtual booths can also be used for displaying interactive video materials, 3D equipment models, presentations, product brochures, etc.
Demonstration of virtual tours
Immersive tours are a novel feature of the exhibition. Companies that have prepared the tours will present them at their booths. Immersive tours allow companies to organise remote visits to mines and enterprises using 3D technologies, which until recently were used in computer games. Demonstration of the tours can be organised in “full immersion” mode using VR helmets. Demonstration in “observer” mode can be organised using video panels. Internet connection for Immersive tours demonstration is not required. Immersive tours create a sense of real on-site presence. The interactive elements built into the tours allow presenter to seamlessly demonstrate slides, videos, images, 3D models and more. Virtual tours can be used for remote and in-person presentation of mine sites, production and processing facilities, equipment, financial and economic information, and much more. Gamification elements provide opportunities for organizing quizzes, quests, tests, and exams within the tours.
